New Features in Version 22.1 (August 2022)

General

In System Setup, you can now instruct the system to logout any user who has been inactive for a certain amount of time. This was a suggestion from a recent User Conference.

In Setup > Preferences, each user can now specify what folder should be used for creation of PDFs from report previews. This was a suggestion from a recent User Conference.

When updating the Label printing window, the mocked-up labels on the right now show a sample address when they are selected.

On the About JobView window from the Help menu, the user can now find A-Systems contact information.

Payroll

When printing a Certification Report for multiple pay periods or multiple jobs, the Statement of Compliance page prints directly after the detail for each pay period.

Added the ability to store a list of signature images. In the Certification tab of Job Setup, the user can now specify which signature should be used, the system then prints the signature on the Statement of Compliance page of the Certification Report.

When printing the EEO Report, a new warning message now prints that lists all the employees who are not assigned an EEO Job Category in Employee Entry.

PR Employee Listing now includes the employee’s W-4 information and W-2 Preview settings.

When emailing W-2s, the system can now password protect the W-2 PDFs.

In timesheet import setup, there is a new setting to “Round Hours Up to the Nearest 1/4 hour.”

In the Other Pay setup window, when the Taxable Other Pay box is checked, the settings on the right have been re-labeled. Instead of saying “Exempt,” the settings now say “DO NOT Withhold or Accrue the following.”

The Timesheet Proof Listing report now indicates when a prevailing wage rate change is taking place. This was a suggestion from a recent User Conference.

The system now displays a message if imported timesheets take more vacation than the employee has available. This was a suggestion from a recent User Conference.

When displaying an employee note during timesheet entry, the system now has “OK”, “Stop”, and “Delete” buttons so the user can immediately turn off the reminder setting on the note or delete the note all together. This was a suggestion from a recent User Conference.

Added an alternate employee address.

In Timesheet Entry, when using the “Distribute Salary” button, the system now takes into account any Taxable Other Pay entries.

Timesheet Import now alerts the user if imported pay amounts cause cost codes to go over budget. This was a suggestion from a recent User Conference.

The Changing an Employee window now has both the Employee Name and Employee Number in the window header.

Company name and address can now be printed on paycheck stubs.

There is a new format of the Earnings Detail Report available. This new “W-2 Summary” format shows just one row of information for each employee for each pay period. The columns included are the values that are needed to tie back the earnings detail to the printed W-2.

The user can now generate the Account Reconciliation (Positive Pay) file for payroll checks as well as accounts payable checks.

Accounts Payable

When importing AP Invoices, added a new option to import multiple line items for different jobs onto the same invoice.

The user can now choose whether to generate the Account Reconciliation (Positive Pay) file at the end of the day or after each check run. This was a suggestion from a recent User Conference.

Invoice Import now alerts the user if imported invoice amounts cause cost codes to go over budget. This was a suggestion from a recent User Conference.

When entering Invoices or Selecting Invoices for Payment, the window prompts now say “Handcheck or Debit Card.”

The printed “Ready to Pay” listing now indicates the method of payment, Check, Credit Card, or EFT.

Accounts Receivable

A "Tax Exempt" flag has been added to the Customer Setup window.

Added a State limit to the AR Aging & History Reports limit window.

A new option when printing Customer Statements allows you to include the “Default Memo” entered in Accounts Receivable Setup.

On the Receipts Entry browse, added a button that allows the user to generate Lien Release forms for the receipts being entered.

When creating a Contractor Draw, the Printing Options tab now displays a list of all of the prior billings on this job. This was a suggestion from a recent User Conference.

The user can now enter a Credit Card Fee in Receipts Entry.

General Ledger

When you finish a Bank Statement Reconciliation, the system now stores lists of not only which transactions that were reconciled, but also which transactions were outstanding.

When importing setup data from Quickbooks, the system can now optionally create the financial statement based on the imported accounts.

Job Costing

Added the “Contract Number” and “Customer PO Number” columns to the Job Setup Browse.

When adding a note to a job, you can now have the system display this note when entering AR Receipts.

In Job Setup on the Notes tab, a new checkbox has been added, "Generate Lien Waivers during Check Printing. If this box is checked, all payments made to vendors on this job will automatically generate a Lien Waiver record.

When using the Force Burden Defaults in Job Costing Setup, there is a new checkbox titled “Create a Cost Code Budget for Burden Expense.” When burden is set to be expensed to a cost code, the program will create a budget line item for burden expense on each job if it doesn't already exist.

The “Cost Code Listing” report can now be filtered by cost code Active status.

When importing Jobs, user can now also include an identical set of cost code budgets on all the jobs imported.

In the Job Overview on the Financial tab, the user now has the option to permanently store the number they type for Latest Cost Estimate.

DataView

A new report type called “Employment History” has been added to the Payroll section of DataView. This lets you view Employee History entries, including OSHA incidents.
