New Features in Version 9.1 (April 2009)

New FileCabinet Module!

FileCabinet is a “paperless” solution that allows users to go to a central location and see all of the attachments and notes stored in every module.

The Overview Screens were enhanced so that:

Credit Cards are now included in the ratios.

The Accounts Payable Overview now displays both the Sales Tax and Disputed Amounts. This suggestion came from the Boston Users Conference.

The Job Costing Overview now includes Change Order Totals by Type.

The Job Costing Overview now includes the Cost Code on the Purchase Order Detail screen.

DataView was enhanced so that:

A new tool used to create “filters” greatly simplifies the process of selecting data for DataView reports.

When totaling calculated fields, a new option allows the column to contain another formula instead of calculating the values in a column, which might be useful when calculating percentages, for example.

Locked views are now additionally protected so that unauthorized users may not delete them. This suggestion came from the Hawaii Users Conference.

The Federal, State, Local, and Union Transaction listings now include the Employee's First, Middle, and Last Name fields.

The User Defined fields in the Customer File are now available for reporting Accounts Receivable Invoice Listings, Invoice Detail Listings, and Receipts Listing.

Payroll was enhanced so that:

The IRS Form 940 report now fills in information, the same as the IRS Form 941.

During Timesheet Entry, when the Regular Pay Rate is adjusted, JobView automatically adjusts the Overtime and Premium rates. This suggestion came from the Boston Users Conference.

The Year-to-date Unemployment data is now included in the Federal End of Quarter report.

The Certified Payroll Report now has the option of printing the last four digits of the employee's Social Security Number.

A new expense distribution account, “Deduction Matching,” has been added to the Setup>Accounting Options>Payroll Options>Accounts and Accrual Distribution screen. This will allow the separate tracking of matched expenses.

In addition to being able to look up states, Localities may now be looked up in the Quarter End Report.

The Federal Quarter End Report now includes an ”Hours Worked” column.

When making additions, deletions, or changes to Standard Deductions, a note is automatically added to the employee record.

The SDI (for California ) displays as a percentage, with a percentage sign (%) to eliminate confusion.

Job Costing was enhanced so that:

During Job Entry, a warning displays if/when the user changes the Customer ID.

The Summary Report, Work in Progress now includes Man Hours. This suggestion came from the Boston Users Conference.

The “Description of Work” fields in Change Order Entry have been expanded. This suggestion came from the Boston Users Conference.

The Job Cost Detail Report now prints the Cost Code as a label at the top of every page. This suggestion came from the Boston Users Conference.

The Cost Code file has a “checkmark” to indicate that it is a “Heading.” When the box is checked, all of the data entry fields are removed from the Edit screen. Headings are displayed in bold on the Pick List and the Cost Code Listing.

When entering Architect or Bank information in Job Setup, a new button allows the user to lookup the Architect or the Bank from the Vendor File. This suggestion came from the Boston Users Conference.

During the Recalc Job Cost procedure, a Closing Date and Closing Fiscal Period may be assigned.

Accounts Payable was enhanced so that:

A separate IRS Form 1096 may now be printed for 1099-INT and 1099-MISC.

The Coverage Amount is now included for Worker's Comp and General Liability Insurance. This new data may be printed in the Vendor List and Aging reports.

Two new Standard Insurance types have been added to the Vendor File: Excess Liability and Auto Insurance. This suggestion came from the Boston Users Conference.

When changes are made to the Vendor Record, they are automatically noted and recorded as an “auto-note.” This suggestion came from the Boston Users Conference.

When an Invoice is “disputed” the reason may be entered during Invoice Entry. This suggestion came from the Boston Users Conference.

Accounts Receivable was enhanced so that:

Invoices that are being printed to be emailed, may be printed with a company logo, even if the company usually uses preprinted forms. This suggestion came from the Boston Users Conference.

A new “Time Billing” procedure allows JobView to automatically generate a billing for non-job hours entered in Payroll Timesheets.

If the Tax Code is “Exempt,” the printed invoice says “Exempt” where the tax amount is usually printed. Thhis suggestion came from the Boston Users Conference.

A Blank Draw Form may now be printed. This suggestion came from the Boston Users Conference.

Each Draw application is now being stored for later access. Saved Draw Requests may then be reviewed, reprinted, and if desired, the Draw may even revert to a prior application.

The Draw screen now includes a button to “Bill 100%,” so that each line item may be billed at 100%. This suggestion came from the Boston Users Conference.

The Next Invoice Number may now be set to be automatically assigned in both Auto Job Billing and Time Billing.

The Customer Record now includes a Default Income Account field that will expedite A/R Invoice and A/R Receipts entry. This suggestion came from the Boston Users Conference.

Invoice Entry now has both “Ship Via” and “FOB” fields. They may also be used in FormMaker.

The Accounts Receivable Invoice Detail was expanded to 150 characters to allow extensive comment.

Purchase Orders were enhanced so that:

A user can now control when a Purchase Order is reconciled. During Purchase Order setup, the user may choose to have JobView NOT automatically mark Purchase orders as reconciled during Accounts Payable Invoice Entry.

General Ledger was enhanced so that:

When adding a new General Ledger account to the Chart of Accounts, it may now be immediately assigned to its place on the Financial Statement.

A new option allows the printing of just the “Instant Checks” on the Check Register.

The Contact Manager was enhanced so that:

Emails may now be sent with the ability to request an “email receipt.”

General Enhancements:

If your computer has Internet access, JobView will automatically check the A-Systems website for updated files. If newer files are found, they will be automatically downloaded without any effort on the part of the user. Those files will automatically install the next time JobView is run. This new convenience came from Mike Clayviellie, Director of Technical Support at A-Systems.

If a user attempts to delete an Instant Check that has been printed but not posted, a new warning will come to screen. A permanent record of that deletion will be saved, indicating the check number and dollar amount, the date, the payee, and the identity of the person that did it.
