Contact Manager: Print Contact Reports

Reports can be printed from contact and activity information entered through the Contact Manager. Several different report formats are available from one centralized limit screen. When ‘Print Contact Reports’ is selected from the Contact Manager menu, the following screen will appear:

Here is a list of all the saved limits for printing contact listings. Any number of unique limit sets can be entered here. To enter or change a limit set, click on the ‘Add’ or ‘Change’ button. The following screen will appear:

Here limits can be set to retrieve just the information the user is interested in.

Report Title

Enter a descriptive title for this set of limits. This description will show up in the list box on the browse screen. It will also show up at the bottom of printed reports.

Contacts

Using these fields, the report can be limited to just a range of contacts or a specific group of contacts.

If ‘All’ is selected, the report will include all contacts. If ‘Select Contacts’ is selected, use the From and To fields to select a range of contacts or a specific contact. If ‘Group’ is selected, choose a group from the ‘Group’ pulldown list box.

Date Limits

The report can be limited based on any of four different dates. The date limit can be a range of set dates, or a floating range based on today’s date.

Select Dates (checkbox)

If this box is checked, the user can use the remaining fields to set the date limit.

Date Type (pulldown listbox)

From this pulldown list, select the date to which this date limit filter is to be applied. Choose from Next Contact Date, Last Contact Date, First Contact Date, or Activity Date.

Range Type (radio buttons)

Select whether this is a set ‘Date Range’, or a ‘Floating Range’ based on today’s date.

From and To

If ‘Date Range’ is selected, enter the first and last date of the range here. If ‘Floating Range’ is selected, the From and To lines can be filled with a floating range of dates. For example, if the users desires to see only contacts who should be contacted within the next week, the limit should be set up to look like this:

Report Type

If ‘Contact Listing’ is selected as the report type, the system will print out varying amounts of information about each contact that matches the limits set at the top of the screen. Use the checkboxes below to indicate how much information should be included.

Select Label Format (button)

Click this button to select which label format will be used for printing the contact labels. The following window will appear:

Highlight any label format to see a representive sample of the labels in the pane on the right. Once the desired label format is highlighted, click the Select button.

Save and Print (button)

Click this button to save the current settings and print the report immediately, without having to return to the Report Title browse window.

Once all limits have been set, click on the ‘OK’ button to save the information and return to the limit screen browse list. Click the ‘Print’ button to print a report according to the highlighted limit set.
