Contact Manager: Updating Contacts

This program is accessed from the Contacts / Activities browse screen. For more information on that screen, review the Contact Manager: Contacts / Activities help topic.

If ‘Insert’ was pressed, the following menu will appear:

If the first button is selected, a contact can be entered from scratch. This contact will not be associated with any record in the Customer, Vendor or Employee files. To use the information stored in a record in one of these files, and establish a permanent link between that record and the new contact record, click one of the bottom three buttons and use the selection screen to select the appropriate Customer, Vendor, or Employee record.

The following window will come into view:

Here the contact information can be entered and modified.

General Information

If this contact is associated with a permanent record in the Customer, Vendor or Employee file, the general information fields will be disabled and an ‘Edit Information’ checkbox will appear below. To modify the general information, check the box and the fields will be enabled. Make the necessary changes.

View Map of Address (button)

Clicking this button will allow the user to display a map of the address or driving directions from the company address to this address.

Print Envelope/Label (button)

Click this button to immediately print an envelope or a mailing label for this address. See the Printing Envelopes and Labels help topic for more information.

Contact Dates

In this area, the First Contact Date, Most Recent Contact Date, and Next Scheduled Contact Date can be modified. These can also be modified when entering individual activities.

User Defined

Here up to ten user defined fields can be maintained. Any prompt modified here will be common to ALL contacts. Only the information entered in the fields on the right will be stored specific to this contact. In order to modify the prompts, check the ‘Edit Prompts’ checkbox and make the desired changes.

When all entries are acceptable, click the OK button to save the changes and return to the browse window.
