Equipment Costing: Analysis Reports

The Equipment Cost Analysis Report is the most useful report in the Equipment Costing module. This report enables management to look at current cost and quantity figures for each piece of equipment and compare maintenance costs with usage income. This analysis may also be used to determine if equipment leased to a third party was leased at a profitable rate.

Information in this report is developed from data contained from other modules of the accounting system. Consequently, the usefulness of the information is very dependent on the accuracy and timeliness of the information received from the rest of the system. After Equipment Analysis is selected under Report on the Equipment Costing Menu, the following screen will come into view.

Click on any column header to sort the listed items. This will be useful when the list of reports has grown.

Insert or Change (button)

To modify the information used in generating the report, press the Insert button or highlight the desired report title and press the Change button. For more information, see Insert or Change an Equipment Analysis Report

Delete (button)

Press the Delete button and the following screen comes into view Press the Yes button and the highlighted record will be deleted and the previous screen comes into view. If the No button is pressed, the program returns to the previous screen.

Print (button)

To print a report, press the Print button. For more information, see Printing Reports.

Note: If the message "Nothing to Print"comes into view when the Print button is pressed, there are two main causes:
 A There is no information within the selected limits. Remove all limits, then, one at a time, reinsert the limits. If the report still will not print, insert a new report title.
 B. No report title is selected. The report title is used to store the selected limits. A report title must be selected in order for the report to print.

Close (button)

This button closes the program and returns to the main screen.

Inserting or Changing an Equipment Analysis Report

To Insert or Change a report, press the appropriate button and the following screen will come into view. This screen displays the possible limits that may be set. No limits should be set if a complete listing of every piece of equipment is desired. Several limits may be set to narrow the list down to a very small range of equipment.

Following is a description of each of the limits. Check the appropriate boxes and enter the desired limits. When all desired limits have been set, press the OK button to save the settings. Press the Cancel button to return to the browse screen without saving the settings

Report Title

The title of the report. Warning: The title is used to store the selected limits. If no title is entered for the report, the message "Nothing to Print" will come into view when trying to print the report.

Equipment ID

This field allows the selection of the piece of equipment or the range of equipment that is desired. If the Select Equipment box is not checked, all pieces of equipment will be listed.

All, Range, List (radio buttons)

Select the All radio button to ignore Equipment ID reporting limits. Select Range to enter a range of Equipment IDs in the From and To fields. Select List to report on a list of selected Equipment IDs.

These fields will be available if the Range radio button is selected.

From

Selects the first piece of equipment in a range of equipment or a single piece of equipment. Enter the Equipment ID number or press the lookup button and the Equipment File Maintenance screen comes into view. Highlight the desired equipment ID and press the Select button.

To

Selects the last piece of equipment in a range of equipment or a single piece of equipment. Enter the Equipment ID or press the lookup button and the Equipment File Maintenance screen comes into view. Highlight the desired equipment ID and press the Select button.

Edit List (button)

Click the Edit List button to add or remove Equipment IDs from the list of Equipment IDs to be included in the report. The following screen will come into view.

Retrieve a Saved List / Save This List for Future Use (buttons)

Use these buttons to save the current list of included records for future use, or to retrieve a previously saved list. See Saved Report Limit Lists for more details.

Available Records

All Available Equipment IDs that are not included in the list are displayed in these columns.

Included Records

All Included Equipment IDs are listed in these columns. Use the arrows to move selected records or all records between the Available and Included areas.

Include Inactive Equipment (check box)

Check this box if inactive equipment is to be included on the Analysis Report.

Report Type

Usage/Cost Analysis (radio button)

This report will print the usage and the cost of the equipment.

Cost Summary Report (radio button)

This report will print totals for each cost category.

Maintenance Schedule (radio button)

This report will print the Maintenance Schedules of all equipment.

Quantity Analysis Type

Specify if the Dollar Amounts per Cost Units should be printed or whether the Usage Units per Cost Unit should be printed.

Dollar amount per Cost Unit (radio buttons)

An example of Dollar Amount per Cost Unit would be $1.98/qt.

Usage Units per Cost Unit (radio buttons)

An example of Usage Units per Cost Unit would be 13 miles/gal.

Cost Category

All, Range, List (radio buttons)

Select the All radio button to ignore cost category reporting limits. Select Range to enter a range of cost categories in the From and To fields. Select List to report on a list of selected cost categories.

These fields will be available if the Range radio button is selected.

From

Selects the first category in a range of categories or a single category. Enter the category or press the lookup button and the Equipment Maintenance Categories screen comes into view. Highlight the desired category and press the Select button.

To

Selects the last category in a range of categories or a single category. Enter the category or press the lookup button and the Equipment Maintenance Categories screen comes into view. Highlight the desired category and press the Select button.

Edit List (button)

Click the Edit List button to add or remove categories from the list of categories to be included in the report. The following screen will come into view.

Retrieve a Saved List / Save This List for Future Use (buttons)

Use these buttons to save the current list of included records for future use, or to retrieve a previously saved list. See Saved Report Limit Lists for more details.

Available Records

All Available cost categories that are not included in the list are displayed in these columns.

Included Records

All Included cost categories are listed in these columns. Use the arrows to move selected records or all records between the Available and Included areas.

Equipment Classes

In equipment entry, each piece of equipment may be classified into any category desired. For example: all back hoes may be given the class name BHOE. The class code option allows the selection of any combination of classes to be printed. If the Select Classes box is not checked, all equipment classes will be listed.

Select Classes

Activates the ranges which are defined on the next lines. To select only one class, check this box and enter that number in both the From and To fields.

From

Selects the first class in a range of classes or a single class. Enter the class codes and separate by commas.

To

Selects the last class in a range of classes or a single class. Enter the class codes and separate by commas.

Date Limits

The user may wish to see analysis of costs for a certain range of dates. This can be a set date range, a range of days relative to Today's date, or a costs as of a certain point in time.

Date Range (radio button)

Select this radio button if the date range is to be a set range of dates. The screen will look like this:

Indicate the date range by entering dates or clicking on the lookup buttons to select from a calendar.

Floating Range (radio button)

Select this radio button if the date range is to be a range of days relative to Today's date.

Indicate the date range relative to Today's date. The above example will always return the costs for the past 30 days.

As Of ... (radio button)

Select this radio button to see the equipment costs as of a certain point in time.

Select a Fiscal Period. The report will show what the costs were as of the end of the selected fiscal period.

Select Classes

Activates the ranges which are defined on the next lines. To select only one class, check this box and enter that number in both the From and To fields.

From

Selects the first class in a range of classes or a single class. Enter the class codes and separate by commas.

To

Selects the last class in a range of classes or a single class. Enter the class codes and separate by commas.

Orientation

Portrait (radio button)

Specifies how the report is positioned on the page when printed. Portrait is the standard. Portrait is printed vertically.

Landscape (radio button)

Specifies how the report is positioned on the page when printed. Landscape is printed horizontally.

Save and Print (button)

Click this button to save the current settings and print the report immediately, without having to return to the Report Title browse window.

Report Description - Equipment Cost Analysis Report (Usage/Cost Analysis)

If the Usage / Cost Analysis radio button was chosen under Report Type, this report will print the usage and the cost of the equipment. The Equipment Cost Analysis Report prints two tables for each piece of equipment. The information in the first table consists of the cost units used for that piece of equipment, the quantity, the amount, and dollars per unit or units per dollar (depending on the limits selected). ‘Cumulative,’ ‘Month-to-Date,’ and ‘Year-to-Date’ totals for each cost category are included.

The second table consists of income from equipment use. It describes quantity, amount and cost per hour for operation of the equipment. ‘Cumulative,’ ‘Month-to-Date’ and ‘Year-to-Date’ totals are also shown for each income category (rental and internal). Following the second table is a summary of the total income, the net profit and the cost per hour of operating the piece of equipment.

Report Heading

The report heading on each page consists of the page number, the date, the company name and the limits that were set for the report.

Type/Description/Units

These columns show the ‘Cost/Income Category ID,’ the ‘Cost/Income Category Description’ and the ‘Unit Name’ by which quantities are tracked for the category respectively. Only those codes selected in the limit selection process will be printed. All selected cost codes will be printed even if no costs have been charged to that code item.

Cumulative

Totals of every transaction in equipment costing are shown in this column.

Year to Date

The totals from the beginning of the current year to date are shown in this column.

Month to Date

These are the current Fiscal period totals.

Quantity

The total number of units charged for the month and year and cumulative totals will appear in their respective ‘Quantity’ columns.

Amount

This column shows the dollar amount charged to this piece of equipment for the given cost category.

$/Unit or Usage/Unit

The contents of this column will vary depending on the setting of limits. It will show either Dollars per Cost Unit (i.e. $.98/quart) or Usage-unit per Cost Unit (i.e. 12 miles/gallon) depending on whether Dollars per Cost Unit or Usage Units per Cost Unit was chosen for Report Type.

Report Description- Equipment Analysis Report (Cost Summary)

If the Cost Summary Report radio button was chosen under Report Type, this report will list only the total amounts for each piece of equipment. The Equipment Analysis Report prints the Last Service Date, Last Meter Reading, Current Meter Reading, and Next Scheduled Service for each piece of equipment.

Type

This column displays the type of Equipment.

Description

This column displays the Equipment Description

Schedule Type

This column displays the Service Schedule Type - Meter or Elapsed Time.

Last Service Date

This column displays the Date the Equipment was last serviced.

Last Service Meter Reading

This column displays the meter reading taken during the last scheduled service.

Next Service Date

This column displays the next Scheduled Service Date.

Next Service Meter Reading

This column displays the next Service Meter Reading.

Current Meter Reading

This column displays the Current Meter Reading.

Report Description- Equipment Analysis Report (Maintenance Schedule)

If the Maintenance Schedule radio button was chosen under Report Type, this report will list the maintenance schedules for each piece of equipment. The Equipment Cost Analysis Report prints the Cumulative, Month-to-Date, and Year-to-Date totals for each piece of equipment.

ID/Description

These columns shows the ID number of the piece of equipment and the Description. Only those codes selected in the limit selection process will be printed. All selected cost codes will be printed even if no costs have been charged to that code item.

Vin

The Vin number of the piece of equipment is listed.

License #

The License number is listed if applicable.

Cumulative

Totals of every transaction in equipment costing are shown here.

Year to Date

The totals from the beginning of the current year to date are shown here.

Month to Date

These are the current Fiscal period totals.
