View Check Register

This procedure allows the user to view checking account transactions in a format reminiscent of a traditional checking account paper check register. It also includes links for drilling down and seeing more information about specific checking transactions.

The Check Register window can be accessed from either of two different locations. The first location is the browse window for Entering General Ledger Accounts. On that window, if an account designated as a "Checking Account" is highlighted, a button titled "View Check Register" is enabled. The second location is the browse window for Printing a Check Register Listing. On that window a button titled "View Check Register" allows access to this procedure as well.

Regardless of the method of opening the check register, the following window will appear:

This window shows all the transactions to the selected checking accouint for the range of fiscal periods selected. It also shows the ending account balance as of the end of the selected fiscal period range. If the window is accessed from the Enter General Ledger Accounts browse window, the account number will already be selected, and the fiscal period range will be the Current Fiscal Period.

Account (drop-down list box)

Using this list box, the user can specify which checking account should be displayed. The list of accounts in the drop-down list includes only accounts designated as "Checking Accounts" in GL Account Entry.

Fiscal Period (radio buttons)

These buttons allow the user to select either a Single fiscal period, a Range of periods or a All periods. Depending on which option is selected, the window will display appropriate drop-down lists of fiscal periods for enting the range. Please be aware that this program accesses the General Ledger Transacion file, which can at times become very large. If "All" periods is selected, the system may take a while to fill the list box with all the transactions ever assigned to this checking account.

View Detail (button)

The user can highlight a specific transaction and click this button to see more information about the desired transaction. Double-clicking on any transaction will have the same effect. The following window will be displayed:

This window shows a mock-up of the original check face along with a summary of what the check paid for. In the case of an Accounts Payable check, the window will include invoice information like that shown above. If the check is a payroll check, the window will include payroll summary information like this:

In either case, the user may want to see even more information about a specific invoice or a specific pay period. Simply highlight the desired record and click the View More Information button. The system will display a window showing more information. In the case of an Accounts Payable invoice, the Accounts Payable Invoice Overview Window will be displayed. In the case of a payroll check, the Payment History Window will be displayed.
