Check Register Listing

This program prints a list of all checks, deposits or other transactions by account number. This is useful for getting a complete list of all checks for posted transactions. Occasionally only a portion of this list will be desired. For example: a listing of only transactions made to a particular fiscal period, between given dates, or certain check numbers. Depending on the limit or limits set on the list, the system will examine each transaction in the file and print only those which meet all the limits.

After selecting the Check Registers option from the General Ledger Report Menu or pressing the Print a Check Register button in Bank Statement Reconciliation, the following screen will come into view.

The tabs are for sorting by Report Title, by User ID, and by Modify Date. These will be useful when the list of reports has grown.

Add or Change (button)

To modify the information used in generating the report, press the Add button or highlight the desired report title and press the Change button. For more information, see Add or Change a Check Register Listing

Delete (button)

Press the Delete button and the following screen comes into view. Press the Yes button and the highlighted record will be deleted and the previous screen comes into view. If the No button is pressed, the program returns to the previous screen.

View Check Register (button)

JobView can display check register information on screen in an interactive window reminiscent of a traditional paper check register. Click this button to access this visual Check Register program.

Print (button)

To print a report, press the Print button. See Printing Reports for more information.

Note: If the message "Nothing to Print" comes into view when the Print button is pressed, there are two main causes:
 A. There is no information within the selected limits. Remove all limits, then, one at a time, reinsert the limits. If the report still will not print, insert a new report title.
 B. No report title is selected. The report title is used to store the selected limits. A report title must be selected in order for the report to print.

Close (button)

This button closes the program and returns to the main screen.

Add or Change a Check Register Listing

To Add or Change a report, press the appropriate button and the following screen will come into view.

Report Title

The title of the report. Warning: The title is used to store the selected limits. If no title is entered for the report, the message "Nothing to Print" will come into view when trying to print the report.

User

Enter the User ID of the report creator.

Lock (check box)

If this option is selected, only the User listed in the User field can change or delete this report.

Checking Account

The journal can be printed for any account which has been specified as a Checking account using the General Ledger Accounts program. Specify the desired checking account or press the lookup button and the General Ledger Accounts screen comes into view. The description of the account will be listed next to the lookup button.

Fiscal Periods

To print all Fiscal Periods, do not check the Select Fiscal Periods box.

Select Fiscal Periods (check box)

Activates the ranges defined on the next lines. This option may be used to limit transactions to a particular fiscal period or range of fiscal periods. To limit transactions to a range of fiscal periods, enter the first and last periods of the desired range. To limit transactions to a single fiscal period, enter that period in both the From and To fields.

From

Selects the first period in a range of fiscal periods or a single fiscal period. Enter the fiscal period or press the lookup button and the Fiscal Period Maintenance screen comes into view. Highlight the desired period and press the Select button.

To

Selects the last period in a range of fiscal periods or a single fiscal period. Enter the fiscal period or press the lookup button and the Fiscal Period Maintenance screen comes into view Highlight the desired period and press the Select button.

Check Dates

Selects Dates

Selects the dates on which to report. Check the box. Specify the dates in the From and To box by clicking on the lookup button. A Calendar will come into view. Caution: Setting date ranges can greatly reduce the speed of report calculation.

Amounts

Select Amounts

Activates the ranges defined on the next lines. This option may be used to limit check numbers to a particular check amount or range of check amounts. To limit check numbers to a particular check amount, enter the first and last check amount in both the From and To fields. Example: To print only checks that are under $100, check the Select Amount box and enter $0.00 in the From field. Enter $99.99 in the To Field.

From

Selects the first amount in a range of check amounts or of a single check amount. Enter the check amount.

To

Selects the last amount in a range of check amounts or of a single check amount. Enter the check amount.

Skip Zero Amounts (check box)

If this box is checked, the report will skip any transaction with a zero amount.

Orientation

Portrait (radio button)

Specifies how the report is positioned on the page when printed. Portrait is the standard. Portrait is printed vertically.

Landscape (radio button)

Specifies how the report is positioned on the page when printed. Landscape is printed horizontally.

Check Number

Select Check Numbers (check box)

Activates the ranges defined on the next lines. This option may be used to limit checks to a particular check number or range of check numbers. To limit transactions to a particular check number, enter the first and last check number in both the From and To fields. .

From

Selects the first number in a range of check numbers or a single check number. Enter the check number.

To

Selects the last number in a range of check numbers or a single check number. Enter the check number.

GL Instant Checks Only (check box)

Check this box and the listing will include only checks that were created using the Instant Check feature in the General Ledger, Payroll and Accounts Payable modules.

Miscellaneous

This may be used to limit transactions to a particular type. To select all transaction types, leave the boxes unchecked.

Include Checks (check box)

Check this box to include checks on the listing.

Include Deposits & Others (check box)

Check this box to include deposits and other transactions on the listing.

Flag Missing Check Numbers (check box)

Check this box to flag missing check numbers in the listing.

Readability Bars (check box)

Select this option to add Readability Bars to the generated Report. Click the color box to select the Readability format. The following screen will come into view.

Select the Readability Bar color or press the Define button to select a Custom Readability Bar color.

Print Transaction Notes (check box)

Check this box to include any notes that were attached to the listed transactions.

Itemize Receipts (check box)

Check this box to print an itemized list of all the AR Receipts that make up a cash deposit transaction.

Reconciled Status

When cash transactions are originally posted to the General Ledger Transaction file, they are automatically assigned a status of ‘outstanding’ by the system. During the Bank Statement Reconciliation process, the transactions are ‘marked’ which appear on the bank statement. At the end of that same process, the system changes the transactions which have been ‘marked’ to a ‘cleared’ status. Using this limit selection, any combination of these status flags on the check register report can be included.

Cleared Transactions (check box)

By checking this box the report includes cash transactions posted to the General Ledger Transaction file that have been reconciled.

Marked Transactions (check box)

By checking this box the report includes cash transactions posted to the General Ledger Transaction file that have been marked to appear on the bank statement.

Outstanding Transactions (check box)

By checking this box the report includes cash transaction posted to the General Ledger Transaction file that have not been reconciled.

Sort By

Select the sort method for the items to be included on the check register listing.

Save and Print (button)

Click this button to save the current settings and print the report immediately, without having to return to the Report Title browse window.

Report Description - Check Register

The Check Register Listing is a very useful report for balancing checking accounts. In the report title, the checking account name will be displayed. The report header also shows the limit field settings for this listing.

Status

This column shows the reconciliation status of the transaction. Possible status is MARKED, CLEARED, and ...... which represents Outstanding.

Period

This is the fiscal period to which the transaction was posted.

Date

This is the date of the transaction.

Journal

These two columns contain the journal identification information. The ID is the the journal code. The journal number is the assigned journal and line number.

Check#

This column is for the check number.

Description

This column show the description of the transaction. The name of the transaction will be listed. If this is a check transaction, the account and check number will be displayed. The name of the Subcontractor, Vendor or Customer will be listed if applicable.
 Example
 A. Invoice -> "Trade Invoice "
 B. Check -> "Cash Account, Check # 12345"
 C. Progress Billing --> "Trade Invoice Detail"
 D. Subcontractor, Vendor, Customer --> " James Stewart" or "Jones Paint and Gas"

Amount

The amount of the transaction will be printed. Deposits and other debits will be listed as positive amounts. Checks and credits will be indicated as negative amounts.

Balance

As the transactions are listed, the deposit amount (debit) or check amount (credit) is added to or subtracted from the total balance. This figure will be listed behind each transaction.

Record #

The record number for each transaction is listed. This record number was assigned to the transaction during posting.
