Add a New Company

The program allows for multiple companies, or sets of books, to be run using one common installation. Each company's data files must be stored in a separate subdirectory.

From the Login screen, press the lookup button and the Company Information screen will come into view. Press the Add a Company button and enter the Company ID and Name and the Subdirectory where the data files will be stored . The Company ID can be up to 5 digits alphanumeric. When all the information has been entered, press the OK button. If the specified directory does not exist, the following screen will come into view.

Yes (button)

Select Yes and Windows will create the specified directory.

No (button)

To close this message and return to the Company Setup screen, press the No button.

From the Login window, now click the OK button. The system will detect the absence of valid data files in the selected subdirectory and display the following message:

Create (button)

If a New Company is to be created in the specified directory, press the Create button.

Restore (button)

Click this button to restore company data into this folder from a backup.

Create a New Company

The following screen comes into view.

Auto Create (radio button)

This option will create a new company with some data files already configured. This company already has a fully developed construction-style chart of accounts with all the setup options completed to make the system ready for transaction postings immediately. We highly recommends that new companies are created using this option.

Manual Create (radio button)

This option will create a new company with NO chart of accounts or other data configured.

Duplicate an Existing Company (radio button)

Select this option to Duplicate an Existing Company. The following fields will be available if this option is selected

Source Company

Enter the Company ID of the company from which to copy.

Check the desired boxes from the following list that are to be copied for the new company. Most are self explanatory. It is recommended that the Chart of Accounts and State Tax Tables be copied, at the very least

1. User File-This file contains the information on the users (people) allowed in the system
 2. Chart of Accounts-This option is recommended for copying.
 3. Cost Code Dictionary
 4. Vendor File
5. Customer File
 6. Employee File
 7. State Tax Tables-This option is recommended for copying.

Press the OK button and the new company will be created. The following screen will come into view.

The new company has now been created and is ready for user input. We recommend that at this point, the New Company Startup Wizard is used to enter company-specific data.
