Job Listing

This program option is used to print a listing including different aspects of a job. This screen is accessed through Job Listing on the Job Costing Report Menu.

Click on any column header to sort the listed items. This will be useful when the list of reports has grown.

Add or Change (button)

To modify the information used in generating the report, press the Add button or highlight the desired report title and press the Change button. For more information, see Add or Change a Job Listing.

Delete (button)

Press the Delete button and the following screen comes into view. Press the Yes button and the highlighted record will be deleted and the previous screen comes into view. If the No button is pressed, the program returns to the previous screen.

Print (button)

To print a report, highlight the desired report title and press the Print button .For more information, see Printing Reports

Note: If the message "Nothing to Print" comes into view when the Print button is pressed, there are two main causes:
 A. There is no information within the selected limits. Remove all limits, then, one at a time, reinsert the limits. If the report still will not print, insert a new report title.
 B. No report title is selected. The report title is used to store the selected limits. A report title must be selected in order for the report to print.

There are three Job Listing reports that have descriptions and samples.

Close (button)

This button closes the program and returns to the main screen.

Add or Change a Job Listing

To Add or Change a report, press the Add button or highlight the desired report title and press the Change button. The following screen will come into view.

Report Title

The title of the report. Warning: The title is used to store the selected limits. If no title is entered for the report, the message "Nothing to Print" will come into view when trying to print the report.

User

Enter the User ID of the report creator.

Lock (check box)

If this option is selected, only the User listed in the User field can change or delete this report.

Jobs

Use this section to limit the report by Job. Use the Range setting to set a range of Job ID numbers. Use the List setting to specify a list of Jobs to be included.

All, Range, List (radio buttons)

Select the All radio button to ignore Job reporting limits. Select Range to enter a range of Jobs in the From and To fields. Select List to report on a list of selected Jobs.

These fields will be available if the Range radio button is selected.

From

Selects the first job in a range or a single job. Enter the number or press the lookup button and the Job setup screen comes into view.

To

Selects the last job in a range or a single job. Enter the number or press the lookup button and the Job setup screen comes into view. Highlight the desired record and press the Select button.

Edit Job List (button)

If the List radio button is selected, this button will be available. The following screen will come into view when the Edit Job List button is pressed.

Use the arrows to move Jobs from the Available list to the Included list. All Jobs in the Included Records section will be included on the report. Use the tabs to sort each section by Job Number or by Job Name.

Retrieve a Saved List / Save This List for Future Use (buttons)

Use these buttons to save the current list of included records for future use, or to retrieve a previously saved list. See Saved Report Limit Lists for more details.

User Defined (button)

Click this button to filter the report by values stored in Job User Defined Fields.

Customers

This section allows the selection of Customers for which the report should be printed. The name or number of the first and last Customers desired should be entered. If information is desired for only one Customer, that Customer's Name or Number should be entered in the From and To fields.

All, Range, List (radio buttons)

Select the All radio button to ignore Customer reporting limits. Select Range to enter a range of Customers in the From and To fields. Select List to report on a list of selected Customers.

These fields will be available if the Range radio button is selected.

From

Enter the customer number, or press the lookup button and the Customer Entry screen comes into view. Highlight the desired customer and press the Select button. The program will return to the previous screen.

To

Enter the customer number or press the lookup button and the Customer Entry screen comes into view. Highlight the desired customer and press the Select button. The program will return to the previous screen.

Edit Customer List (button)

Click the Edit Customer List button to add or remove Customers from the list of Customers to be included in the report. The following screen will come into view.

Available Records

All Available Customers that are not included in the list are displayed in these columns.

Included Records

All Included Customers are listed in these columns. Use the arrows to move selected records or all records between the Available and Included areas

User Defined (button)

Click this button to filter the report by values stored in Customer User Defined Fields.

Sort Cost Codes

This option will only be available if the Budget check box is selected. Select the desired order either Sort by Cost Code or Sort by Description.

Sort by Cost Code(radio button)

This lists the report by cost code in numerical order.

Sort by Description (radio button)

This list the report by cost code name in alphabetical order.

Print Order

Specify whether the report is to be printed in Job ID sequence or to be printed by Job Name in alphabetical order.

Job ID

The report will list the Jobs in numerical order.

Job Name

The report will list the Jobs in alphabetical order by name.

Customer ID

The report will list the Jobs grouped by Customer, with the customers in numerical order by Customer ID.

Customer Name

The report will list the Jobs grouped by Customer, with the customers in alphabetical order by Customer Name.

Job Personnel

Project Manager

This option allows the user to limit the report by Project Manager. Press the down arrow button to select from a list of Project Managers.

Superintendent

This option allows the user to limit the report by Superintendent. Press the down arrow button to select from a list of Superintendents.

Include Managers Marked Inactive (checkbox)

If this box is checked, then the pulldown lists for Project Manager and Superintendent will include Inactive employees.

Salesman

This option allows the user to limit the report by Salesman. Press the down arrow button to select from a list of Salesmen.

Foreman

This option allows the user to limit the report by Foreman. Press the down arrow button to select from a list of Foremen.

Estimator

This option allows the user to limit the report by Estimator. Press the down arrow button to select from a list of Estimators.

Category

Select the Job Category of the jobs for which the Job Listing should be printed. This option allows the user to see only jobs of a certain category.

Billing Type

Select the Job Billing Type of the jobs for which the Job Listing should be printed. This option allows the user to see only jobs of a certain billing type.

Printing Options

New Page for Each Job (check box)

The reports are printed by job. If desired, each job may be started on a new page.

Skip printing of Inactive Jobs (check box)

If this box is checked, Inactive Jobs will not be included in the Report.

Print Only Jobs Tagged for Closing (check box)

If this box is checked, only Jobs tagged for closing will be included in the Report.

Skip Printing of Closed Jobs (check box)

If this box is checked, Closed Jobs will not be included in the Report.

Labels

Print Labels (check box)

Place a tick in this box to print job labels instead of a standard job listing report.

Label Format (button)

Click this button to select which label format will be used for printing the job labels. The following window will appear:

Highlight any label format to see a representive sample of the labels in the pane on the right. Once the desired label format is highlighted, click the Select button.

Orientation

Portrait (radio button)

Specifies how the report is positioned on the page when printed. Portrait is the standard. Portrait is printed vertically.

Landscape (radio button)

Specifies how the report is positioned on the page when printed. Landscape is printed horizontally.

Information to be Included

Address & Phone Number (check box)

The Address and Phone number entered for the customer information for this job in the General Tab in Job Setup will be printed.

Budget (check box)

The Budget entered for this job in the Budget Tab in Job Setup will be printed.

Job Site Information (check box)

The Job Site information entered for this job in the Job Site Tab in Job Setup will be printed.

Customer Information (check box)

Check this box to include information about the default customer on each job.

Certification Information (check box)

The Payroll Certification information entered for this job in the Certification Tab in Job Setup will be printed.

Architect Information

The Architect information and project information entered for this job in the Architect Tab in Job Setup will be printed.

Architect Information

The Billing Information, including the contract price and billing totals will be printed.

Financing Information

The Lending Institution and Loan information entered for this job in the Financing Tab in Job Setup will be printed.

Notes

The notes entered for this job in the Job Setup Notes/User Tab will be printed.

User Defined

The user defined information entered for this job in the Job Setup Notes/User Tab will be printed.

Billing Phases

The Billing Phases entered for selected Jobs will be printed.

Warn of unassigned cost codes

When printing billing phases, check this box and the report will include a list of any budgeted cost codes that are not included on any billing phase.

Select All (button)

This button, when pushed, selects all the options under the Information to be included column.

Deselect All (button)

This button, when pushed, deselects all the options under the Information to be included column. The report will print a list of all the jobs.

Budget (button)

This button, when pushed, selects the Budget option under the Information to be included column.

Job Dates

Use these settings to limit the report to jobs with a job date that falls within a specified range of dates.

Job Date Type (pull-down list)

Select the type of date upon which the limit will be based. Select "No Job Date Limit" if no date limit is desired; otherwise, select the type of date to be used for the limit. All the dates listed are accessible through the Job Setup program.

If a date type is selected, the date ranges defined on the next lines are enabled. To limit the jobs to a range of dates, enter the first and last dates of the desired range. To limit jobs to a single date, enter that date in both the From and To fields.

From

Selects the first date in a range of dates or a single date. Enter the date or press the lookup button and a Calendar will come into view. Highlight the correct date and press the OK button.

To

Selects the last date in a range of dates or a single date. Enter the date or press the lookup button and a Calendar will come into view. Highlight the correct date and press the OK button.

Save and Print (button)

Click this button to save the current settings and print the report immediately, without having to return to the Report Title browse window.

Report Description - Job Listing

The report will print a list of all the jobs, ID numbers and a description. This is printed if no options are selected on the Job Listing Detail tab.

Report Description - Job Listing (Budget)

This report lists the Jobs and their associated Cost Codes. The Cost Codes number and description are listed. Following the code number is the code type (Labor, Materials, Subcontracts, Equipment or General). If a grouping code is assigned, the code is printed behind the code type. The name or description of the cost code for the job phase is listed next to the cost codes.

Report Description - Job Listing (Comprehensive)

The Job Listing Report is a comprehensive report on the information associated with this job. The information listed is dependent on the selections chosen under the Detail tab of the Report Limits screen.

Budget

The Cost Code numbers and description are listed. Following the code number is the code type (Labor, Materials, Subcontracts, Equipment or General). If a grouping code is assigned, the code is printed behind the code type. The name or description of the cost code for the job phase is listed next to the cost codes.

Construction Dates

Any of the following four dates will be listed. The dates will only be listed if they were entered in the Job Site tab in Job Setup.
 1. Beginning-the date construction is to start.
 2. Estimated Completion- the date construction is to be finished.
 3. Substantial Completion-the date construction is substantially finished.
 4. Actual Completion-the date construction was finished

Site Description

The following information will be listed.
 1. Subdivision - the name of the subdivision.
 2. Lot - the lot number.
 3. Lot Size - the size of the lot in square feet.
 4. Lot Description - description of the lot.
 5. Square Footages- Square Footages allows for entry of three different square footages. This may be useful in several different distances. For example: a home builder may use Square Footage #1 for the total roof area, #2 for the total heated area, and #3 for the unheated area. Each cost code may specify which square footages are most applicable. For example: the roofing code would use #1, the heating equipment code would use #2, and the codes for flooring costs would use a combination of #2 and #3.
 6. Building Description -description of the type of building or the job.
 7. Plan Number - the plan number.
 8. Construction Class -the designated construction class.

Certification Information

The following information will be listed.
1. Certification Report Required- there will be either a yes or no after this statement.
 2. Governing Region - this is any city or municipal government.
 3. County - the county where the project is located.
 4. Tax ID - the tax exempt identification number, if any, for this project.
 5. Peak Emp(loyee) Count - the estimated maximum number of employees that will work on this project at any given time.
 6. Peak Emp(loyee) Date - the date when the number of employees will reach its highest level.

Prevailing Wage Rate Table

1. The Certified Craft Codes and Description assigned to this job.
 2. Prevailing Rates -the regular & overtime hours paid for the specific Certified Craft Code.
 3. The Union Fringe Benefit Table associated with the specific Craft Code.

Architect Information

The name, address and phone number of the architectural firm are listed. The name of the individual to contact at the architectural firm is also listed.

Project Information

The following information will be listed
 1. Job Number - the number assigned by the architectural firm.
 2. Contract Date - the date the contract was signed with the architectural firm.
3. Number of Apps Made - the number of applications for payment made to the contract owner.
 4. Last Application Date - the last date an application for payment was made.

Financial Information

The following information will be listed
 1. The name, address and phone number of the financial institution funding the project.
2. The individual to contact at the institution funding the project.
 3. The Loan Number - the number assigned by the financial institution.
 4. Loan Date - this is the date the loan was signed.
5. Due Date - this is the date the loan is due.
6. Amount - this is the dollar amount of the loan.
 7. Interest Rate- this is the interest rate on the loan.

User Defined

Any user defined data entered will be listed here.
