Cash Sales: Process Cash Register Receipts

Using this program the operator can review and post cash sales previously recorded in the Cash Register program. This program is intended to be run at the end of each cash sales day.

Select Process Cash Register Receipts from the Cash Sales menu. The following window will come into view:

On the left is the list of all cash registers. As each register is highlighted, its transactions are displayed in the list box at the right. This list shows all unposted cash sales. This list is not interactive. Individual sales cannot be edited or deleted. If a cash sale record is incorrect, it can only be corrected by voiding the sale and entering a new sale in its place. The voiding process is described in the Cash Register topic.

Register Information

The buttons in this group allow the user to create or modify cash registers and to proof list and post selected cash register sales. Each option will be defined below.

Insert / Change (buttons)

Clicking these buttons will allow the operator to insert or change the attributes of an existing cash register. The following window will come into view:

Register ID (display)

This is a reference number automatically assigned by the system.

User ID (entry field)

This is the User ID of the user who created this register.

Description (entry field)

Enter a brief description of this cash register.

Float Amount (display)

This is the amount of money that is in this cash register's till at the beginning of the day. Use the Increase Float and Decrease Float buttons to add to or subtract from the amount of money that is currently in the till. A description of the process for adding or removing money from a cash register can be found in the Cash Register topic.

Date of Last Posting

This displays the date of the last time the sales in this cash register were posted to the General Ledger.

AR Invoice Batch

When cash sales are being entered, one of the options is to create an invoice based on the current sale and save it into an Accounts Receivable Invoice batch. Select which AR Invoice batch should be used for creating invoices from cash sales entered through this register.

Tag / Untag / Tag All (buttons)

In order to print proof listing or post cash register entries, the desired batch must be tagged. Use these buttons to tag or untag the currently highlighted register. This can also be accomplished by clicking in the tag column of the desired register.

Proof List Tagged Registers (button)

This program will print a proof listing of the cash sales in the tagged registers. A sample proof listing is included at the end of this topic.

Post Tagged Registers (button)

Press the Post Tagged Registers button and the following screen comes into view.

Backup Now

Click Backup Now button and the Utilities Backup/Restore screen will come into view.

Skip Backup

Click the Skip Backup button to skip the backup and continue to the next screen.

Don't prompt for pre-posting backups in the future

Check this box to turn this prompt off for future postings. To turn the prompt on again, see Setup: Preferences.

Cash transactions will be posted to the chosen fiscal period. The fiscal period is listed after the ellipsis button. The Default fiscal period will be the last period used by the posting program. To change the Fiscal Period, enter the correct fiscal period or press the ellipsis button and the Fiscal Period Maintenance screen comes into view. Highlight the desired fiscal period and press the Select button. When the displayed fiscal period is correct, press the Post button.

Press the Preview button to view a preview of the posting.

The system will then post the cash receipts in the tagged registers. Two Reports will print:
1. The Cash Sales Posting Detail
2. The General Ledger Summary of Cash Sales Posting Report.

After the posting process is finished and all reports have been printed, the following screen will come into view.

Finish (button)

Press the Finish button to make the posting permanent.

Undo (button)

Press the Undo button to return all data to the conditions prior to posting.

View Suspended Sales (button)

A cash register sale can be suspended during Cash Register Entry. If this is the case, the cash register sale will not show up in any of the displayed cash registers on this processing window. They can be displayed, however by clicking the View Suspended Sales button.

This is a list of all the sales that have been suspended. Use the buttons below the list to preview a Printed Receipt for the highlighted sale, or to print a Proof Listing of all the listed sales.

Print Cash Register Receipt (button)

Click this button to preview a duplicate Printed Receipt for the highlighted sale.

Delete

Click this button to delete the highlighted sale. If the Inventory system is being used, then deleting the cash sale will restore the inventory items to their original quantities.
