The Overview system performs the following functions:
•Displays a breakdown of the costs for each Job.
•Provides for monitoring of Total Cost and Income Information for all Active Jobs with the ability to immediately view any job at any level of detail, including Cost Code totals with Projections, General Ledger transactions, Accounts Payable Invoices and Accounts Receivable Billings.
•Provides a comparison of Accounts Payable account balances with Open Account Payable Invoice Detail. Any discrepancies are displayed and suspicious General Ledger transactions are found automatically.
•Tracks current Accounts Payable or Accounts Receivable Balances (with aging) at a glance with the ability to immediately view supporting Accounts Payable or Accounts Receivable Invoice information.
•Provides easy detection of suspicious General Ledger transactions for Job Costing, Accounts Payable and Accounts Receivable.
One of the most exciting features of the accounting system is the Overview capabilities. These powerful screens provide a general overview of different sections of the accounting program, as well as the ability to drill down to deeper and deeper levels of detail.
There are four main Overview screens, each with a specific purpose and target audience.
This program allows management to view all aspects of the company's finances. This includes Accounts Receivable and Accounts Payable aging figures, Cash Account Balances, Financial Statement figures, and Job Overview figures. Hotfields in each of these sections serve as doorways into more detailed analysis screens.
The Accounts Receivable Overview option on the Overview menu allows the user to quickly view Accounts Receivable balances from the Company Overview screen.
The Accounts Payable Overview option on the Overview menu allows the user to quickly view Accounts Payable balances from the Company Overview screen.
The Accounting Overview program allows accounting personnel to quickly check the balance between the General Ledger and subsidiary ledgers including Accounts Payable, Accounts Receivable and Job Costing. Features are provided for automatically finding transactions that may cause discrepancies. A trial balance for any fiscal period can also be displayed.
The Financial Overview program allows the user to quickly view Balance Sheets, Income Statements, Burden Percentages, Active Job Profit Totals, and Job Cost & Billing Totals.
This overview program gives a Project Manager unlimited access to review contract, budget and cost information regarding all jobs for which he or she is responsible. This is the same job information available through the Company overview screen, only it is limited to the Project Manager's jobs.
This overview program gives a Job Superintendent access to budget and cost information regarding all jobs for which he or she is responsible. This is a limited view of the same job information available through the Company overview screen.
